Good Results Shouldn’t Depend on Who Is on Shift

In August, we asked a deceptively simple question:


What are we trying to achieve?

It is an important question because cleaning, hygiene, and maintenance are not really about chemicals, machines, brushes, or dispensers.

They are about outcomes.

A hygienically safe production area.A clean and presentable facility.A workshop free from heavy grease and contamination.A floor that is properly maintained.A workplace that is safer for employees and visitors.

Once the required outcome is understood, however, another question becomes just as important:


Can we achieve that result consistently?

Because a process that works perfectly on Monday but fails on Wednesday isn't really a good process.


Consistency is one of the hidden measures of quality

Many cleaning problems are not caused by the absence of a capable product.

They are caused by variation.

One employee uses the correct dilution. Another adds a little extra "just to make sure."

One shift follows the correct cleaning method. Another takes a shortcut.

One site has the right tools. Another makes do with whatever is available.

One operator has been properly trained. The next person learned by watching somebody else.

Individually, these differences can appear small.

Across hundreds of cleaning activities, multiple employees, different shifts and several sites, they become significant.

Chemical consumption increases. Results become unpredictable. Equipment is used incorrectly. Cleaning takes longer. Compliance becomes more difficult to demonstrate.

And management is left trying to understand why a process that should work doesn't always produce the expected result.


The answer is not simply a better chemical

The answer is a better system.

A professional cleaning system brings several things together:

The correct chemistry. The product must be suitable for the soil, surface, and required outcome.

The correct concentration. Too little chemical may not perform adequately. Too much increases cost and can create unnecessary risk.

The correct equipment and tools. A chemical cannot compensate indefinitely for an inappropriate brush, machine, dispensing system, or application method.

A defined process. People need to know what must be done, in what sequence, using which tools and products.

Training. A written procedure has limited value if the people doing the work don't understand it.

Verification. The final question must always be: did the process actually achieve the required result?


This is where cleaning changes from a collection of products into a managed system.


Standardisation does not mean inflexibility

Every site is different.

A food factory has different risks from a shopping centre.

A mine workshop has different challenges from a hospital or office building.

Even two apparently similar facilities may have different surfaces, equipment, soil loads, water quality or working practices.

So standardisation does not mean forcing every customer to clean in exactly the same way.

It means establishing the best practical method for that environment and then making that method repeatable.

The objective is to remove unnecessary variation while retaining the ability to respond intelligently when circumstances change.


Good systems make the right thing easier to do

This is particularly important when operations depend on large numbers of people.

We cannot design processes around the assumption that every employee will have years of experience or specialist technical knowledge.

The system itself should help people succeed.

Clear procedures help.

Colour-coded tools help.

Controlled dosing helps.

Appropriate mechanisation helps.

Simple training helps.

Visual instructions help.

Regular verification helps.

Each removes another opportunity for uncertainty.

Collectively, they create consistency.


Consistency also controls cost

There is another important benefit.

In an environment where labour, chemicals, water, transport and equipment costs continue to matter, waste becomes increasingly difficult to justify.

The cheapest cleaning programme is not necessarily the one with the lowest-priced chemical.

It is the programme that reliably produces the required outcome with the least unnecessary consumption of chemicals, labour, water, equipment and time.

That is why dilution, dosing, equipment selection, methods and training matter so much.

Small inefficiencies repeated every day become large costs.

Small improvements repeated every day create significant value.


From supplier to system partner

Also, the sign of a well-designed system is that the result does not depend on luck.

It does not depend on which employee happens to be working that day.

It does not disappear when an experienced operator goes on leave.

It does not change dramatically from one branch to another.


Good results are designed to be repeatable.

That is the difference between supplying cleaning products and building a cleaning system.
